We are hiring a dynamic and proactive Executive Assistant.

This will begin as a part-time, contractor position with room for growth.

It’s a virtual, work from home position. Must live in North America. Canadian citizens are preferred.

You will thrive in this role if you:

  • Have 10+ years experience in a similar role, ideally working for high-level, experienced coaches.

  • Have a high level of integrity and keep your word. Positive, can-do attitude

  • Are a top-notch project manager, communicator (both written & verbal), and relationship builder. Reliable, highly-organized, self-motivated, efficient and prompt.

  • Will anticipate our needs, create systems, and make decisions as us. (You are much more than an order taker and will proactively take work off our plates.)

  • Are totally comfortable using GSuite, SquareSpace, Zoom, Teamwork, Freshbooks, Calendly, Facebook, LinkedIn, Instagram, Canva, Chat GPT, etc. 

  • Willing to invest time and effort in understanding the models and systems we specialize in teaching our clients.

  • Align and resonate the guiding values of our team and company (see below).

The Work

Back Office Systems

  • Develop, improve and streamline company systems, processes and automations while maintaining a high-touch, prestige client experience

  • Oversee company tech updates, e.g. computer back ups, virus scans, system updates, IT repairs, software updates, Google Drive 

  • Set up new invoices, process payments, manage recurring payments, pay company invoices, maintain strict confidentiality of all finances

  • Help owners manage their email inboxes and unsubscribe to unnecessary emails

Client Service Delivery

  • Deliver onboarding calls for new clients, respond to client inquiries, provide tech support to clients, primary client contact when owners are on vacation

  • Schedule meetings with clients and prospective clients

Sales & Marketing

  • Update and maintain Ascend website on SquareSpace.

  • Track website statistics and make recommendations to increase new qualified leads

  • Post and distribute marketing emails to Ascend’s email list and set up new automated email sequences and landing pages

  • Find and apply for speaking opportunities for the owners

  • Create supporting marketing assets, repurpose Ascend content for social media using our social media kits in Canva

  • Gather and maintain client testimonials and reviews on Google and LinkedIn

Team & Other

  • Lead company weekly planning meetings and quarterly planning meetings

  • Lead other contractors for ongoing and temporary initiatives as required

  • Support owners with other responsibilities and initiatives as required

You will have the opportunity to work from anywhere in Canada and fulfill your responsibilities at your discretion. We ask that you have availability between 9 am and 4:30 pm Mountain Time, Monday to Friday, our weekly team meetings are a core priority for you, and you respond promptly to communications from us.

How To Apply

 Step 1: Fill out a short questionnaire, including submitting a cover letter with a resume and three references from current or former clients. The application deadline is May 8, 2023.

Step 2: Successful submissions will be invited to a virtual Zoom interview, You’ll meet one of the company co-founders, who will ask some questions to learn more about you. You’ll also have an opportunity to ask your own questions.

Step 3: Successful interviewees will advance to a final interview with both company co-founders. The final decision will be made from there.
